2. Scope
This policy applies to personal data collected when you visit promoswift.pro, submit our contact form, communicate with us by email or phone, visit our studio, or engage us for campaign production services. It does not apply to third-party websites linked from our pages. We encourage you to review the privacy policies of any external sites you visit.
3. Personal data we collect
Depending on your interaction with us, we may collect the following categories of personal data:
- Identity and contact data: name, job title, company name, email address, telephone number, postal address.
- Enquiry and brief data: information you provide in contact forms or emails about your campaign requirements, timelines, budget ranges, and business objectives.
- Technical data: IP address, browser type and version, device type, operating system, referral URL, pages viewed, and time spent on pages — collected via cookies and similar technologies as described in our Cookie Policy.
- Communication records: copies of correspondence, meeting notes, and call logs where relevant to service delivery.
- Contract and billing data: for clients, invoicing details, payment references, and project documentation provided during engagements.
We do not intentionally collect sensitive personal data (such as NRIC numbers, financial account details beyond billing necessities, health data, or biometric data) through this website. Please do not submit such information via our contact form.
4. How we collect personal data
We collect personal data through:
- Direct submission — when you complete our contact form at /contact.php, email us, call our studio, or visit in person.
- Automated technologies — cookies, server logs, and analytics tools when you browse our website (subject to your cookie preferences).
- Business interactions — when you engage us for services, sign proposals, or participate in production sessions.
- Referrals — when another party introduces you to us and shares your contact details with your consent.
5. Purposes of collection, use, and disclosure
We collect and use personal data for purposes that a reasonable person would consider appropriate in the circumstances, including:
- Responding to enquiries and providing information about our campaign production services.
- Scoping, quoting, and delivering contracted services.
- Managing client relationships, project communication, and invoicing.
- Improving our website, understanding visitor behaviour, and measuring content effectiveness (where analytics cookies are accepted).
- Complying with legal obligations, resolving disputes, and enforcing our agreements.
- Protecting the security and integrity of our website and systems.
- Sending service-related updates to existing clients — not unsolicited mass marketing unless you have opted in.
We may disclose personal data to:
- Employees and contractors who require access to perform their duties under confidentiality obligations.
- Service providers such as email hosting, cloud storage, analytics platforms, and payment processors — only to the extent necessary and under appropriate data protection terms.
- Professional advisers including lawyers and accountants when required.
- Regulatory or law enforcement authorities when required by applicable law or court order.
We do not sell personal data to third parties.
6. Legal basis and consent
Under the PDPA, we rely on consent, contractual necessity, legitimate business interests, and legal compliance as appropriate bases for processing. When you submit our contact form, you must tick the PDPA consent checkbox confirming you agree to our collection and use of your data to respond to your enquiry. You may withdraw consent at any time by contacting us, subject to legal or contractual restrictions on retention.
7. Contact form processing
Data submitted through /contact.php is transmitted to our email systems via /send.php. Fields collected include name, email, phone, company, service interest, message content, and consent confirmation. Submissions include a server timestamp in Asia/Singapore timezone. A honeypot field is used to filter automated spam; data entered in that hidden field is discarded without processing.
8. Retention
We retain personal data only as long as necessary for the purposes for which it was collected:
- Enquiry data from non-clients: up to 24 months from last contact, unless you request earlier deletion.
- Client project data: duration of engagement plus up to seven years for legal, tax, and audit requirements.
- Cookie consent preferences: six months, as described in our Cookie Policy.
- Server logs: typically 90 days unless required for security investigation.
9. Cross-border transfers
Our primary systems are hosted with providers that may store or process data outside Singapore. Where personal data is transferred overseas, we take steps to ensure recipients provide a standard of protection comparable to the PDPA, including contractual safeguards where applicable.
10. Security
We implement reasonable administrative, technical, and physical safeguards to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks. Measures include access controls, encrypted connections (HTTPS), password policies, and staff training. No method of transmission over the internet is completely secure; we cannot guarantee absolute security.
11. Your rights under the PDPA
Subject to exceptions under the PDPA, you have the right to:
- Access personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Withdraw consent to processing where consent is the basis.
- Request information about how your data has been used or disclosed within the past year.
To exercise these rights, email [email protected] with sufficient detail for us to verify your identity and locate your records. We will respond within thirty days unless an extension is permitted under the PDPA.
12. Cookies and tracking
Our website uses cookies and local storage for essential functionality and, with your consent, analytics. Full details including how to manage preferences are in our Cookie Policy.
13. Children
Our services and website are directed at business clients and professionals. We do not knowingly collect personal data from individuals under eighteen years of age. If you believe we have inadvertently collected such data, contact us for prompt deletion.
14. Third-party brand clarification
PromoSwift Studio Pte. Ltd. is a campaign production studio. We are not affiliated with coupon platforms, the SWIFT payment network, courier services, or delivery applications. This clarification is included because search queries occasionally conflate our name with unrelated businesses. Personal data submitted to us is processed solely in connection with our studio operations.
15. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect revisions. Material changes will be posted on this page. Continued use of our website after changes constitutes acknowledgement of the updated policy.
